Privacy Policy

As location intelligence professionals, we understand the importance of privacy. Everyone has the right to privacy, and so do you. We are committed to respect your privacy and complying with the laws applicable to the processing of personal data.

We process personal data in accordance with the principles listed below. We update these principles as our operations develop or legislation changes. Therefore, it is a good idea to review this policy from time to time.

Use of Personal Data

We collect, store and process personal data only for pre-defined purposes, which are:

Services and customer relationship management - We process personal data to provide services, for billing and debt collection, to handle claims and to measure customer satisfaction.

Some of our services may only be available by logging into our service with personal IDs. We may also use personal data for publicity announcements related to the use of the service.

Service marketing and communication - Within the limits of the law, we may also process personal data for marketing purposes and direct marketing. This may also include the processing and analyzing of personal data for the purpose of marketing or service targeting. For example, we may show targeted messages or content based on your past interest on our channels.

Fulfilling legislative obligations - Your data may also be collected and processed for fulfilling legislative obligations, such as for accounting purposes and use of authorities and officials.

Human resource management - Information about employees and job applicants are primarily used for human recourse management, meeting employment contract obligations, meeting legislative obligations related to the employment, and to evaluate and select job applicants for open positions.

Collectable personal data and their sources

Primarily, personal data of our customers (including potential customers), employees and job applicants is collected and processed. We collect personal data mainly from you when you contact us or later after the use of our services. We may also collect data of our customers from public sources or social media channels, such as LinkedIn.

Our website's visitor information is also collected to analyze and improve our site, and to target relevant marketing to our site visitors.

Typically, we collect the following information directly from our customer contacts:

  • Company name, first and last name of contact person, work address, work e-mail address, telephone number and title;
  • Information about the contacts marketing permissions and/or prohibitions.
  • Classification information provided by individuals themselves (e.g. interests);
  • Information via contact forms;
  • Customer feedback
  • Ordering, billing and delivery information

Regarding our employees and job applicants, we mainly process information obtained from the individuals themselves, and other information generated during the employment:

  • Basic information about the employee or job applicant.
  • Job applicant's CV, application and reference information obtained with the applicant's consent.
  • Information required for the payroll.
  • Information necessary to fulfill the obligations and rights in the employment.
  • Certain information that is considered sensitive by the employee (such as health information), but solely for the purpose of meeting the employer's legislative obligations.

With your consent, we may also collect and process other information.

Processing and transfer of personal data to third parties

Your personal data is mainly processed by our company's personnel in their work. In some circumstances, your data may be handed over, in confidence, to our subcontractors who process personal data under a written agreement. Our subcontractors process personal data in accordance with our written instructions and only for the purposes stated in this privacy policy.

We may use subcontractors, in particular for data storage and customer management (cloud services) for information regarding our customers' personal data. In personnel matters, we use subcontractors, especially for financial management and payroll. We may also hand over information required to fulfill our contractual obligations, by law or a when required to do so by a competent authority. When involved in a business transaction, we may also hand over your information.

Will your data be transferred outside the EU?

In certain situations, your information may be transferred outside the EU, as some of the cloud services we use may be located outside the EU. If information is transferred outside the EU, we will ensure an adequate level of protection of personal data by agreeing on issues related to confidentiality and processing of personal data as required by law.

How long is your personal data retained?

We will not retain your personal data for longer than is necessary for its purpose or as required by contract or law. However, time of retention may vary depending on the intended use. Time of data retention may also be based on legislation, such as the Accounting Act.

How do we secure your data?

The personal data we collect will be treated as confidential and will not be handed over to anyone other than those who need it in their work or on a confidential and limited basis to our service providers. We have ensured that all our service providers follow the data protection legislation.

Rights of the registered

Access to data - You have the right to be informed whether we process your personal data and to know what personal data we process about you. In addition, you have the right to receive additional information about the grounds for the processing of your personal data.

Right to have errors corrected - You have the right to request correction of incorrect or incomplete personal data about you.

Right to prohibit direct marketing - You have the right to prohibit the processing of your personal data for direct marketing purposes by notifying us.

Withdrawal of consent - If we process your data based on your consent, you may withdraw your consent at any time by notifying us.

Right to object to processing - If we process your personal data for the grounds of public interest or our legitimate interest, you have the right to object to the processing of your personal data. Although the right to object is to the extent that there is no compelling reason to supersede your right or processing necessary to meet a legal claim. Please note that in this situation, we will probably no longer be able to serve you.

Right of deletion - You have the right to request the deletion of your data if it is not necessary to process the data. We will process the deletion request, after which we will either delete the data or provide a valid reason why the data cannot be deleted. It should be noted that the keeper of the data register may have a legislative or other right not to delete the requested information. The keeper of the data register is obliged to keep the accounting material in accordance with the period (10 years) specified in the Accounting Act (Chapter 2, Section 10). Therefore, accounting materials cannot be deleted before the deadline.

How can I exercise my rights?

You can exercise your rights described above by contacting us by e-mail at contact(@)advian.fi. When contacting us, we ask you to mention your name, address and telephone number and attach a copy of your passport, driver's license, or other identity document, so that we can verify your identity.

If you consider that the processing of your personal data is not lawful, you can also lodge a complaint with the Data Protection Commissioner.
